Items

Controller

Reporting to the Deputy Director and CFO, this position has oversight of the day-to-day functions of the Finance Department. Managing and preparing the month-end close, managing the annual budget and quarterly forecasting process, leading the preparation of the annual financial audit and federal tax form 990, generation of the financial reports for key decision makers, and providing back-up for other functions within the Finance Department.   


DUTIES & RESPONSIBILITES:

  • Oversees all accounts, ledgers, and reporting systems, ensuring compliance with Generally Accepted Accounting Principles (GAAP), regulatory requirements, and annual budget.
  • Supervises Staff Accountant, Payroll/AP Coordinator and any Finance Department interns and develops yearly goals and workplans, and ensure clear roles and team processes
  • Directs activities of department and encourages professional development of staff. 
  • Maintain proper segregation of duties and internal control structure, recommending changes to existing guidelines and procedures, maintaining documentation of policies and procedures, and training other staff where appropriate on internal control guidelines and procedures 
  • Ensure timely completion of the monthly, quarterly, and annual general ledger closings
  • Oversee accounts payable processes, including check runs, wire transfers, and credit card expense reporting
  • Prepares and distributes monthly financial reports to managers for review and tracking purposes
  • Prepares and analyzes monthly reporting package for distribution internally and to Finance Committee or other board committees.
  • Manages the annual budget and quarterly forecast process. Maintains Adaptive Planning software. Prepares materials for presentation to senior management and Board of Directors.
  • Coordinate budget process with department supervisors, train and review with each department.
  • Prepares and coordinates with auditors the year-end audit and annual tax filing (990, 990T, IL990)
  • Responsible for compliance with all local, state and federal tax and reporting requirements
  • Prepare and reconcile pledge and pledge payment reports for monthly and yearly financial reporting.
  • Reconcile donation gifts with Development Department monthly as well as restriction of gifts and necessary releases
  • Maintains endowment reconciliation and quarterly rollforward of endowment funds
  • Ensure consistent tracking methods for grant reporting and provide the Development team with necessary financial budgets and reports for funders.  
  • Oversee all aspects of the timely processing of payroll and ensure the organization is compliant with all states with respect to employee benefits, including workers compensation.  
  • Manage cash flow, maintaining appropriate bank accounts and adequate cash, and prepare monthly forecast and weekly cash flow analysis
  • Assist with HR tasks as they intersect with Finance
  • Cross trained in all areas of Finance, backing up staff as needed.
  • Other projects as assigned by Deputy Director/CFO.


QUALIFICATIONS/ REQUIREMENTS: 

Undergraduate or graduate degree in accounting required. CPA or MBA preferred. Nonprofit experience required. A seasoned and mature leader with 7-10 years of experience in accounting, reporting and budget preparation. Individual must be able to efficiently analyze data and comfortable making recommendations to senior management. Excellent Microsoft Excel skills are required and experience using Blackbaud, Adaptive Planning and Tessitura is preferred. Flexible and the ability to work independently and take initiative. Must be professional and detail-oriented with superb communication skills. Background and credit check required. Must have a solid commitment towards diversity, inclusion, and equity.   


SCHEDULE: Monday through Friday, 8:30am-5pm, additional hours as required.

Summer Chaperone, Joffrey Academy

Joffrey Academy Summer Chaperones will assist with all aspects of student life for the Joffrey Academy of Dance, Official School of the Joffrey Ballet Summer Intensive Programs. Chaperones are primarily responsible for supervising young dance students ages 9-21+ who are participating in Joffrey Academy summer intensive programs and living in the housing facilities throughout the duration of the program. Chaperones work closely with the Head Chaperone, the Academy Director, and the Joffrey Academy administrative staff.


DATE AVAILABILITY: Chaperones must be available June 14 – July 20. Chaperones may not have prior commitments such as classes, part time jobs, or other conflicts during the program weeks. Additional Chaperone positions are also available from July 21 – August 10.

RESPONSIBILITIES:

  • Work closely with a group of 8-30 students, and be responsible for the well-being of the students ensuring the safe and smooth operation of housing program and its activities.  
  • Supervise and support students, and oversee activities during weekends and evenings.  
  • Enforce Joffrey Academy and Housing rules and regulations.
  • Plan and organize activities with core group of students (8-13 students/chaperone).
  • Accompany students to and from studio and dorms each day. Supervise hallways, studios, and common areas on-site at the Joffrey Tower and any Studio Locations used by the Joffrey Academy to ensure student safety and timeliness
  • Communicate with students, parents, Academy staff and other Chaperones regarding schedules, attendance, program and dorm information.
  • Monitor dancers’ conduct and behavior and report any problems or concerns to the Head Chaperone and Academy Director.
  • Chaperone weekend activities, including taking students on public transportation, walking around the city, going to performances, etc…
  • Work with other chaperones in a team environment 
  • Maintain positive and supportive attitude to promote fun and safety in Chicago and in the Joffrey Summer Intensives
  • Other duties as assigned

QUALIFICATIONS/REQUIREMENTS:  Interested candidates should be mature, responsible individuals, preferably with prior Resident Assistant, Camp Counselor, or teaching experience. Dance experience is not required but an interest in the performing arts is a plus. Interested candidate should have experience interacting with students and parents and ability to manage multiple activities in a pressured environment. Chaperones must be at least 19 years old at the start of the program. Chaperones cannot be students enrolled in the 2019 Joffrey Academy Summer Intensive Programs, but may take dance classes if time allows and chaperone is approved by the Academy Artistic Team. Strong commitment to diversity, equity and inclusion is required

PHYSICAL ABILITY:

  • Must be able to physically assist an injured student which may include lifting and/or supporting their weight (minimum weight lifting requirement: 40 lbs).
  • Must be able to assist students to climb/descend stairs if normal exit routes become unavailable, such as in an emergency
  • Operate an automobile 

COMPENSATION: $375 per week fee will be paid bi-weekly. Chaperones must live in the Dormitory Housing arranged by the Joffrey Academy. Meals will be provided as follows: breakfast, lunch, dinner Monday-Friday; brunch and dinner Saturday and Sunday. Transportation to and from Chicago, and outside of Joffrey Ballet weekend activities is not provided.

SCHEDULE: Joffrey Academy Chaperones are temporary independent contractors, and must be available 24 hours per day for the duration of the program. Chaperones cannot have any other commitments such as classes, part-time positions, etc. Chaperones must live in the housing facility with the students and supervise them at all times when the students are not in class.  Chaperones are allowed one day off each week, which is always on a weekday. Time off schedule will be assigned prior to the start of the program.  Evenings and weekends are occupied with supervision of the students.  Exact schedules may vary.

Development Assistant

The Development Assistant reports to the Associate Director of Individual Giving and is responsible for researching groups of current and prospective donors, fortifying donor retention across all levels, and strengthening the pipeline of donors in the small gifts space. The Development Assistant will work closely with the Annual Campaign team to produce accurate reporting and assist with large mailings.  

 

DUTIES AND RESPONSIBILITIES 

  • Work closely with the Associate Director, Individual Giving and members of the development team to understand their business needs, execute research assignments, and provide database analysis to better inform annual campaign strategies 
  • Work with development and IT departments to help execute data uploads  
  • Perform prospect research and prepare executive briefing documents 
  • Prepare gift acknowledgements in a timely manner and according to Joffrey brand guidelines
  • Responsible for completing tasks related to organizing, labeling, filing, and mailing information
  • Other duties as assigned by the Associate Director, Individual Giving and Chief Development Officer 

 

QUALIFICATIONS/REQUIREMENTS: Undergraduate degree required. Knowledge of non-profit fundraising models and database research procedures. Tessitura experience preferred. Proficiency and technical expertise in Microsoft Office (Excel, Word, and Power Point). Candidates must be detail oriented, possess excellent written and oral communications, and have the ability to manage multiple projects at a time. Academy Part-Time Faculty Member

The Joffrey Academy of Dance, Official School of The Joffrey Ballet is continually seeking talented, experienced classical ballet teachers for part-time faculty positions. Faculty members are responsible for teaching anywhere from 1-20 hours per week in the Academy's Children's, Youth, Adult and/or Pre-Professional Divisions. Part-Time Faculty members work closely with the Academy Artistic Directors to maintain the Joffrey Academy’s syllabus and uphold the artistic excellence for the Joffrey Academy. Part-Time Faculty members are expected to adhere to the policies and procedures of the Joffrey Academy of Dance. 


Responsibilities include; prepare and teach ballet, pointe, and classical repertoire classes at the Joffrey Academy of Dance, as scheduled by the Academy Staff, maintain a strong knowledge and understanding of the Joffrey Academy syllabus, serve on the substitute list for ballet classes, as availability permits, complete student evaluation forms for students in the Fall and Spring semesters, maintain a positive and structured classroom environment, teach private lessons, as needed and as availability permits, communicate regularly with Academy Artistic Staff and Faculty, Academy Administration, and other Joffrey Ballet staff members, meet with Artistic Staff and students/families, as needed, attend faculty meetings throughout the year, as availability permits, and complete paperwork and input payroll hours, as needed.


QUALIFICATIONS / REQUIREMENTS:
2-5 years, minimum, teaching experience in classical ballet
Must have a strong technical background in classical ballet 
Work exceptionally well with young students
Have a desire to learn the Joffrey Academy’s syllabus
Enjoy working in a collaborative environment as a team player
Be able to take constructive feedback to achieve high artistic standards

 

WORK SCHEDULE: 
Schedule will be mutually agreed upon by the Joffrey Academy and the Faculty Member. Hours primarily after 4pm on weekdays and 9am-3pm on weekends. Teaching schedule may vary each semester.

Academy Intern

Responsible for compiling, analyzing, and organizing information related to the Joffrey Academy of Dance. Assist with miscellaneous projects as needed.

 

DUTIES AND RESPONSIBILITIES:

  • Compile and analyze information related to the Joffrey Academy of Dance.
  • Organize and maintain costume inventory and online video archive.
  • Responsible for completing tasks related to organizing, labeling, filing, and mailing information.
  • Provide aid before and during dance performances.
  • Assist with check-in and distribution of items to Academy students. 
  • Assist with preparations for school auditions.
  • For winter, assist with registration preparation and student placement data.
  • For winter, assist with Nutcracker children's cast and production needs.
  • Research partnership opportunities related to student services (ex. student housing, medical resources).
  • Work on other projects or duties as assigned by the Academy.

 

QUALIFICATIONS/REQUIREMENTS:

College Undergraduate with strong academic credentials as well as excellent communication, interpersonal, organizational, and writing skills are required. Strong analytical and research skills desired. An active and energetic mind and demeanor. Demonstrated workability with Microsoft Office, specifically Excel and Word. Development Intern

  • Assist with preparations for Women’s Board meetings and events.
